8 Steps to Planning a Great Event

Planning an event can seem like a daunting task but it doesn’t have to be. Here are a few tips to get you started. Of course, you can reach out to us and let us do the heavy lifting. 1. What is the occasion? 

Wedding Reception, Birthday, Corporate Meeting, Banquet, Reception, family reunion, etc


2. What is the style of your event? 

How would you like your guests to dress for the occasion? Will it be casual, business attire or black tie? Will you host a costumed event, a corporate affair or an elegant party? What kind of atmosphere do you want to create? Are you going to have an event theme or color scheme? What kind of foods/cuisines would you like to have? Never skimp on food. Guests will always remember if you do. Give the very best that you can do.


3. What date(s) are you considering? 

You may want to identify 2 or 3 dates to consider, just in case your first choice is not available. Remember that the day of the week will often affect pricing too. A fundraiser held on a Monday or Thursday evening will be less expensive and make more money for your organization.


4. How many guests do you want to have at your event?

Everyone you invite may not attend it and the number of guests has the largest impact on the cost of the event. Consider your location, your desired room set and how you want your event to flow. What number of guests would work best?

5. What is your budget or how much are your willing to spend? 

How much do you expect your event to cost? Remember to include not just your venue and catering costs, but expenses related to invitations/printing, a photographer/videographer, postage, favors, centerpieces, entertainment and gratuities, etc.


6. What time of day would you like your event to be? 

The type of event and the age of your guests should be a consideration. For example, if it is a 90th birthday party, an afternoon event may be more appropriate than in the evening.


7. What memories do you want to create?

If you look back on your event a few years from now, what memories do you want you and your guests to have of it? What feelings and visions come to mind? What is your event wish list?


8. Where will you have your event? 

This is the most critical task in your planning process and often must be decided early on as it represents a significant portion of your budget. Choosing a great venue and an experienced, professional caterer is paramount. Without confirming this, it’s impossible to effectively plan your event.
